ButterflyMX Gate System Update

Dear Stonebrooke Commons Residents/Tenants,

We are excited to announce that our new ButterflyMX gate access system will be installed in the coming weeks!

Tenant Information Needed

At this time, we are collecting information for all tenants. We currently have approximately 50% of the required information on file.

If you are an owner with tenants, please email info@stonebrookecommons.org with the following for each tenant:

  • Full name
  • Email address
  • Phone number
  • Updated lease / Registration Form

Our goal right now is simply to ensure everyone has access when the new system goes live.

Important: Please Wait Before Downloading the App

Once your information has been entered into the system, ButterflyMX will send you an email containing:

  • A link to download the ButterflyMX app
  • Your one-time login credentials

Please DO NOT download the ButterflyMX app until you receive this email.

Access Options

Once the system is activated, residents will be able to access the entrance gate using:

  • ButterflyMX mobile app
  • RFID credential
  • Personal 6-digit entry code (automatically assigned during registration and can be changed afterward)

The pedestrian gate, pool, and fitness center can all be accessed using the app.

If you do not have a smartphone, you will need to request a new key fob for access. Please note that access is provided through either the app or a fob, so fobs will not be issued to those who have the app.

Current Access Devices

Please note that your current gate remotes, gate key cards, and gate entry codes will no longer work once ButterflyMX is activated.

Additional information, including setup instructions and details on how the system will operate, will be provided as we get closer to deployment.

At this time, the Board is unable to answer individual questions regarding the operation of the new system, as final implementation is still in progress. We kindly ask that you hold your questions until additional information is distributed.  Thank you for your patience and cooperation as we transition to this new access system.

Update: June 22, 2026

We wanted to provide a quick update on the new gate entry system. The installation is taking a little longer than originally anticipated due to coordination and infrastructure requirements. The project is still moving forward, and we are working with the vendors to complete it as soon as possible. We appreciate everyone’s patience and will provide another update once we have a confirmed installation timeline.

September 10, 2026

We are pleased to report that the next phase of our new gate access system is moving forward. The boring contractor is scheduled to complete the necessary underground work within the next week. Once that work is finished, Comcast will be able to complete the installation of the required internet lines to the gate area. Following completion of the Comcast work, we anticipate that installation of the new ButterflyMX gate access system can begin shortly thereafter.
As we move closer to implementation, we will schedule a Saturday registration meeting at the clubhouse from 10:00 a.m. to 2:00 p.m. Residents will be able to stop by during that time to register for the system and submit or obtain any documentation required to use the gate access system. Additional details about the meeting will be provided once the date is confirmed.

We appreciate everyone’s continued patience as we work through the various infrastructure requirements necessary to complete this project properly. We are making progress and look forward to having the new system installed and operational as soon as possible.

Great news! We are ready to begin the next step of our ButterflyMX gate and amenity access rollout!

📱 STEP 1: Look for Your ButterflyMX Email

Please be on the lookout for an email from ButterflyMX sent directly to the email address we have on file for you.

If you do not see the email in your regular inbox, please check your Spam/Junk folder. Depending on your email provider, the ButterflyMX invitation may automatically be filtered into one of these folders.

Once you locate the email, open it and follow the prompts. At this time, all you need to do is download the ButterflyMX app and complete the setup instructions.

How to Use the ButterflyMX Intercom

We also wanted to provide brief instructions explaining how you and your guests will use the new ButterflyMX intercom at the gate.

We plan to send another email with simple, step-by-step instructions comparing how guest entry worked with our previous system and how it will work with ButterflyMX going forward.

🚗 STEP 2: RFID Headlight Tags for Your Vehicle

For residents who would like the convenience of entering the subdivision without having to use their phone each time, we will be issuing optional RFID headlight tags.

The RFID tag is placed on your vehicle and works with the RFID reader installed at the entrance gate. As your registered vehicle approaches the gate, the reader recognizes the tag and allows the gate to open automatically.

This means no searching for your phone, opening the ButterflyMX app, or pressing a button while entering the subdivision. Simply approach the gate in your registered vehicle and the RFID system provides a convenient, hands-free way to enter.

RFID tags are completely optional. If you prefer to use the ButterflyMX app to open the gate, you do not need an RFID tag and do not need to come to the clubhouse for one.

🔑 What Are the Fobs For?

Fobs are intended for residents who do not have a smartphone and therefore cannot use the ButterflyMX app.

📍 STEP 3: RFID Headlight Tag & Fob Pickup

We will be at the Stonebrooke Commons Clubhouse this Saturday from 10:00 AM–2:00 PM to distribute RFID headlight tags and fobs. Please bring your ID.

If you cannot make it Saturday, pickup will also be available at the clubhouse:

October 26th (Monday)– October 30th (Friday)
Between the hours of 9:00 AM–10:00 AM each day.

There will be no charge for RFID headlight tags or fobs issued as part of this initial rollout. Please keep in mind that fees may apply in the future for additional vehicles, replacement tags/fobs, or future tenants.

Again, you only need to come to the clubhouse if you would like an RFID headlight tag for your vehicle or require a fob. If you plan to use the ButterflyMX app only, there is nothing you need to pick up.

🛠️ Need Help?

Stonebrooke Commons is UNABLE to troubleshoot technical issues if the ButterflyMX app will not download or is not working properly on your particular device.

You are also welcome to come to the clubhouse this Saturday between 10:00 AM and 2:00 PM, and we will be happy to assist with the initial setup as much as possible.
